How to move to software in the right order, without a painful week.
Owners put this off for years, and the reason is fair: the register works. The risk is not the register. It is that one book, one laptop or one person holds everything.
Week 1: Billing only. Nothing else. Every bill goes through the new system, every day, no exceptions. Week 2: Add your customer list — name and phone is enough to start. Do not stop to clean up old data. Week 3: Add staff and their commission rules. Week 4: Add stock, starting with the expensive fast-moving items only. Month 2: Now go back and fill in history if you want it. By this point the daily habit is set.
No parallel running. Two systems for a month means neither is right. Pick a date and switch billing fully. Keep the old register in a drawer for six months. Do not throw it away, and do not use it. Train the newest staff member first. If she can do it, everyone can. Expect the first three days to be slower. That is normal, and it is over quickly.
Ask how you get your data out again. If the answer is vague, choose something else. Ask what happens when the internet drops. Try it free for a full week, at the counter, in real use.
Billing first, everything else later. No running two systems side by side. Keep the old register safe for six months.
Start with billing only for a full week, then add the customer list, then staff, then stock. Trying to move everything in one weekend is the usual reason it fails.
Not if you keep the original register or spreadsheet untouched for six months after the switch. Also confirm before you start that you can export your data back out of any system you choose.
